The Privacy Settings in the Wellness360 Admin Platform allow administrators to control how employee names appear across the platform and manage which personal information fields are visible to employees in the User Portal.

Follow the step-by-step instructions below to configure Privacy Settings for your organization.


Steps to Configure Privacy Settings in Wellness360

Step 1: Log into the Admin Platform

Step 2: Navigate to Privacy Settings

  • From the left-side navigation menu, click on Settings.

  • Under the General section, select Privacy to access the Privacy Settings page.

The Privacy Settings page is divided into two main sections: Name Display Format and Profile Field Visibility.


Name Display Format

This section allows you to choose how employee names appear in leaderboards, social features, and other areas across the platform.

A Live Preview panel on the right-hand side shows a real-time example of how names will appear based on your selection.

Step 3: Select a Name Display Format

Choose one of the following display options by selecting the corresponding card:

  • Show Full Names - Displays the employee's complete name without any masking. Example: John Smith

  • First 3 Letters + Mask - Shows the first 3 letters of the last name followed by asterisks. Example: John Smi***

  • Mask + Last 3 Letters - Shows asterisks followed by the last 3 letters of the last name. Example: John ***ith

  • Initial + Mask - Shows only the first letter of the last name followed by asterisks. Example: John S***

  • First Name Only - Hides the last name completely. Example: John

  • Custom Configuration - Allows you to define your own masking rules.

About Privacy Masking
This feature masks employee last names throughout the platform to protect privacy in leaderboards, social feeds, and comments. This is a company-wide setting that affects all users.

Note: Names with 3 characters or fewer will always be shown fully, regardless of the masking option selected.

Step 4: Save the Name Display Format

  • Once you have selected your preferred name display format, click the Save Settings button.

  • The selected format will immediately apply across all platform areas where employee names are displayed.


Profile Field Visibility

This section allows administrators to control which personal information fields are visible to employees in the User Portal. Each field can be toggled on or off.

Step 5: Configure Personal Information Fields

Under the Personal Information sub-section, toggle the following fields on or off based on your organization's requirements:

  • Mobile Number — Allow employees to add their phone number.

  • Date of Birth — Show the date of birth field on the employee profile.

  • Gender — Show gender selection on the employee profile.

  • Address — Show address fields (street, city, state, zip, country) on the profile.

  • Interests — Allow employees to add personal interests to their profile.

Step 6: Configure Health Measurement Fields

Under the Health Measurements sub-section, toggle the following fields on or off:

  • Height — Allow employees to enter their height measurement.

  • Weight — Allow employees to enter their weight measurement.

  • Stride Length — Allow employees to enter their stride length.

Step 7: Configure Features

Under the Features sub-section, toggle the following options on or off:

  • Dependents — Allow employees to add and manage dependents on their profile.

  • Friends / Social Connections — Allow employees to add friends and see friends on their profile.

Note: Disabling a field will hide it from the employee's profile in the User Portal. Employees will not be able to view or edit disabled fields until they are re-enabled by the administrator.

Step 8: Save Profile Field Settings

  • Once all field visibility preferences have been configured, click the Save Field Settings button at the bottom of the section.

  • The changes will take effect immediately across the User Portal for all employees.


Conclusion

After completing the steps above, your organization's privacy preferences will be successfully configured on the Wellness360 Admin Platform. Employee name masking and profile field visibility will update across the platform immediately, ensuring employee data is displayed in accordance with your organization's privacy standards.
